Step 3: Preview Invoices

The Preview Invoices & Credit Notes step allows you to preview all invoices generated from your reviewed transactions before sending them to your clients/contacts. This is your final checkpoint to confirm totals, tax calculations, and line item details for each invoice.

After completing the Review Transactions step and clicking Next, you’ll see a list of all invoices grouped by client. Each client section contains one or more horses and their corresponding billable items for the selected period.

In the invoice preview table, each row represents an invoice for a specific client and horse:

+ Depending on your invoice settings, invoices may be generated either as a single invoice per contact covering all horse and non-horse related transactions or as separate invoices for each horse owned by that contact. If you’re unsure which setup is best for your needs, please contact us for assistance.

Summary Cards

  • Total Invoices: The number of invoice and credit note documents to be generated
  • Total Amount: The combined value of all invoices for this period
  • Action Required: The number of contacts that need attention (typically missing email addresses)

 

Grouped Invoice List Invoices are organised by contact name, making it easy to review what each client will receive. Each contact group shows:

  • Client Name – Displayed as the header for each section.
  • Total Amount – Displayed as the total amount inclusive of tax for each billable contact
  • Tax Breakdown – Clearly showing the tax portion included in the total.
  • Emails were documents will be sent

Important Review Points

Before finalising, ensure:

  • Invoice totals match your expectations based on reviewed transactions
  • Tax calculations are correct
  • All required items are included
  • Unnecessary or duplicate transactions have been removed 
  • Client details are correct and billable contacts are assigned.

How to Use This Screen

Searching for Contacts Use the search bar at the top to quickly find a specific contact by name.

Expanding and Collapsing Groups

  • Click on any contact row to expand and view individual invoices
  • Use the Expand All button to open all contact groups at once
  • Use the Collapse All button to close all groups

Previewing Individual Invoices

  1. Expand a contact group
  2. Each invoice shows the horse name, document type (Invoice or Credit Note), and amount
  3. Click the Eye icon to open a full PDF preview of that invoice (depending on your settings invoices will be sent from EPONA or your accounting system, please contact us for more info)

PDF Preview Options When viewing an invoice preview, you can:

  • Download: Save the invoice as a PDF to your computer

Action Required Warnings

If a contact shows "Action Required" in orange, this means the contact is missing an email address.

Available Actions

From this step, you can:

  • Expand/Collapse Details – Use the plus (>) to show or hide invoice and credit notes.
  • Return to Review Transactions – If you spot any issues, you can go back to Step 2 to make adjustments before generating invoices.

Moving to the Next Step

Once you have reviewed your invoices you have different options:

  • Click Next to proceed to the Send step for Statement
  • Click Creating Invoices – Generates the invoices in Xero and EPONA but does not send them to clients, allowing for further checks.
  • Click Create and Send Invoices – Generates invoices in Xero and EPONA and sends the email to clients from Xero.
